Privacy policy

Initial draft for formal review and approval before launch.

About this draft

This initial privacy notice needs approval and completion before enquiry forms are enabled. The responsible organisation’s identity, contact details, lawful bases, processors and retention periods must be confirmed.

Information we may receive

Enquiries can include your name, email address, enquiry topic and message. Volunteer interest may include a general location, interests and availability. Please never send passwords, PINs, full payment-card details or banking security credentials.

Why information is used

Enquiry information is intended to respond to the request and manage relevant follow-up. It must not be used for commercial lead generation. Optional newsletter subscription, if introduced, needs a separate choice and an unsubscribe process.

Storage, access and retention

The website’s form handler sends enquiries to the configured mailbox; it does not create an enquiry database. Hosting and mail services may process logs and messages. Administrators must document providers, access controls, deletion schedules and any international transfers before launch.

Your choices and rights

You may ask questions about how your information is used and request access, correction or deletion where applicable. Rights and the correct contact route need to be confirmed in the approved notice. The organisation should explain how to raise an unresolved data-protection concern.

A little guidance can make a big difference.
